Vehicle titling remains one of the most time-consuming and risk-intensive processes in automotive retail, particularly as dealerships handle more online sales and out-of-state transactions. While much of the car-buying process has moved online, title and registration workflows continue to rely heavily on paper, which creates delays that directly impact inventory turn and cash flow. On the latest episode of Driving Solutions, Bryan Calloway, Executive VP of the National Digital Titling Clearinghouse (NDTC), powered by CHAMP, joins us to elaborate on how dealers can improve their digital titling processes.
The NDTC, powered by CHAMP, was created to address gaps exposed during the pandemic, when online transactions surged, and paper-based workflows struggled to keep pace. Despite years of technology adoption, titles and registrations remain bottlenecks because physical documentation is still required. While financing, compliance forms, and customer signatures can be completed digitally, titles often must be mailed, corrected, and resubmitted when errors occur, with out-of-state transactions further extending timelines.
Calloway notes that many electronic titling systems transmit lien information or electronic records but do not transfer true ownership. This leaves dealerships waiting for paper titles while inventory remains tied up. A state-backed digital platform, however, changes that by allowing titles to be officially reviewed, issued, and recorded by a motor vehicle authority. State involvement ensures that digital titles carry the same authority as paper documents and that title data is vetted upfront, reducing errors and incomplete submissions.
Dealerships that move to a centralized digital clearinghouse typically see measurable operational improvements. Calloway claims that validated digital titles are typically available within hours instead of weeks, allowing vehicles to be remarketed, wholesaled, or made retail-ready faster. Automated review tools also flag documentation issues early, which allows staff to correct all errors at once rather than through repeated back-and-forth exchanges. This reduces compliance risk and administrative workload for back-office and F&I teams.

Despite these advantages, many dealers still associate paper titles with security and legitimacy, even as nearly every other aspect of daily life relies on digital records. This hesitation remains one of the biggest barriers to broader adoption, particularly among stores that have relied on the same title processes for decades.
For growing dealer groups, standardized digital titling also supports scalability as a centralized process reduces the need for additional staff or location-specific workflows, which is especially valuable as dealerships expand across regions and states. Calloway notes that state-backed solutions are more reliable than commercial-only platforms because only state agencies can legally change ownership records, giving dealerships confidence before remarketing vehicles or recognizing inventory.
